How Airbnb Co-Hosting Works

Running your own Airbnb gives you control, but it also gives you a growing list of jobs. Guest questions, cleaner schedules, pricing changes, access problems, maintenance and back-to-back bookings do not stop just because you are busy, interstate or trying to enjoy your own weekend.

For some owners, handing over the booking account and waiting for a manager to send through what remains of the income feels like giving up too much control.

Every property starts in a different place. You might have an empty apartment that has never hosted a guest, an established Airbnb that is taking over your life or a holiday home that needs a more reliable local team.

We do not assume the answer before looking at the property. We work through the following process to understand what is needed, agree on responsibilities and build support around the way your holiday rental actually operates.

1. Tell Us About Your Property

The first step is a Free Property Assessment.

You tell us about the property, where it is, how it is currently used and what you want to achieve. We also want to know what is already working and where the pressure is building.

Useful starting information includes:

  • The property type and location
  • Whether it is new to short-term rental or already operating
  • Which booking platforms you currently use
  • Your typical booking pattern and guest type
  • Whether you use the property yourself
  • Existing cleaners, linen providers, trades or systems
  • Current problems with the listing, guests, turnovers or property care
  • The tasks you want to keep and the work you want help with

You do not need to diagnose the whole operation before contacting us. If all you know is that the workload has become too much, we can help identify where the problems are coming from.

2. We Review the Property and Current Setup

Next, we look at the property as both a guest experience and a working holiday rental.

For a new property, this may involve reviewing its readiness, presentation, amenities, access, house information, cleaning requirements and likely operating needs. For an existing listing, we can examine the listing, photos, reviews, booking settings and the systems behind each stay.

The purpose is not to create a list of unnecessary upgrades. It is to find the gaps that could cause avoidable guest questions, poor reviews, cleaning failures, access problems or extra work for the owner.

3. We Agree on the Right Level of Support

Not every owner needs the same service.

One owner may want BnBe to coordinate most of the day-to-day operation. Another may already have a reliable cleaner and only need help with guest communication, calendar management and local issues. A new owner may need intensive setup support before moving into a simpler ongoing arrangement.

We use the assessment to define a practical service scope. The proposal explains:

  • What BnBe will manage or coordinate
  • What you will continue to handle
  • The access and information we need
  • How guest and property issues will be escalated
  • Which decisions can be made under an agreed policy
  • Which decisions still require your direct approval
  • How BnBe’s fees are structured
  • How cleaning, linen, supplies, trades and other external costs are handled

4. You Keep Your Accounts and Booking Income

Your property remains your property. Your Airbnb or other booking-platform account remains under your control, and guest payments continue to be made through the platform to your nominated payout account.

BnBe does not collect your booking revenue, hold it in a trust account and then send you what remains after deductions.

Where the platform allows, BnBe can be added as a co-host or authorised team member with the access needed to complete the agreed work. This means we can support the listing and guests without taking ownership of the account or the asset you have built.

You retain control of:

  • Your property and booking-platform accounts
  • Your payout details and booking income
  • Pricing policy and minimum acceptable rates
  • Refund, discount and compensation rules
  • Owner-use dates and property availability
  • Major expenditure, repairs and property changes
  • The final decisions that materially affect your property or money

BnBe handles the agreed operational workload within the authority and policies set during onboarding.

5. We Build the Operating System Around the Property

A holiday rental runs better when the routine work is documented before something goes wrong.

During onboarding, we gather the information and access needed to support the property properly. The exact work depends on your service scope, but it can include:

  • Co-host and platform access
  • Property, building and parking information
  • Check-in, check-out and backup access procedures
  • Guest communication templates and timing
  • House rules and owner-approved booking policies
  • Digital guidebooks and property instructions
  • Cleaner schedules and property-specific turnover checklists
  • Linen, laundry and consumable-restocking arrangements
  • Maintenance contacts and trade-access procedures
  • Emergency contacts, escalation steps and spending limits
  • Owner-use dates and calendar rules
  • Review, damage and incident-documentation processes

If an existing cleaner, linen provider or trusted trade is working well, we can discuss keeping them within the new process. If there are gaps, we can help establish the local support needed to keep the property operating.

The aim is simple: the guest knows what to do, the cleaner knows what is expected, local suppliers know how to gain access and everyone knows when the owner needs to be involved.

6. We Prepare for Launch or Handover

Once the service scope and operating systems are in place, we prepare to begin.

For a new Airbnb

We work through the remaining setup, listing and operational tasks required before the first guest arrives. A property should not be rushed online only to discover its weaknesses through bad reviews.

For an Airbnb that is already operating

We review future bookings, guest commitments, platform access, keys, cleaner arrangements, maintenance issues and any promises already made to upcoming guests. This helps create a cleaner handover with less risk of something being missed.

When changing from another manager or co-host

Timing matters. Existing bookings still need to be honoured, and access to accounts, guest communication and property systems must be transferred carefully. We will identify what is needed for the handover and agree on a realistic start date.

7. BnBe Supports the Day-to-Day Operation

Once the property is active under the agreed arrangement, BnBe handles the practical co-hosting work included in your service.

That may involve communicating with guests, coordinating cleaners and linen, monitoring the calendar, recommending pricing changes, arranging approved maintenance, following up property issues and keeping the operation moving between stays.

The value is not just in completing individual tasks. It is in connecting them.

If a cleaner reports a leaking tap, someone needs to assess the urgency, arrange access, coordinate the repair and make sure the next guest is not affected. If several reviews mention confusing check-in instructions, the answer is not another apology. The instructions and access process need to be improved.

Guest and urgent operational support is available 24 hours a day, seven days a week. Routine matters are handled within the agreed process. Important property, financial or safety decisions are escalated to you.

8. We Review What Is Working and Improve What Is Not

Short-term rentals change over time. Booking patterns shift, guest expectations move, appliances wear out and small problems begin to appear in reviews or repeated questions.

Ongoing support can include reviewing:

  • Common guest questions and complaints
  • Review patterns and recurring feedback
  • Cleaning or turnover problems
  • Gaps in amenities or property information
  • Pricing, minimum stays and calendar settings
  • Maintenance trends and preventable failures
  • Changes to owner-use plans
  • Whether the current service scope still fits the property

We use what happens in the real operation to make sensible improvements. There are no guaranteed occupancy or income claims. The focus is on presenting the property accurately, running it reliably and making informed decisions as conditions change.

What Happens If Something Goes Wrong?

We agree on issue-escalation procedures during onboarding so there is a plan before an urgent situation occurs.

Depending on the problem and your service scope, BnBe may:

  1. Help the guest resolve the issue remotely.
  2. Contact the cleaner, building contact or an approved service provider.
  3. Arrange access for a suitable trade.
  4. Notify you when approval or a major decision is required.
  5. Document damage, maintenance concerns or relevant guest communication.
  6. Follow the issue through so it does not disappear between one booking and the next.

Emergency spending limits and approval rules can be agreed in advance. This allows genuinely urgent operational problems to be handled promptly without giving open-ended authority over your money.
